Review features already available
Inventory features in your business and office software before adding a subscription. Check availability under your contract, administrator settings and data-use terms. This option deserves a trial if it handles the task in the right place with suitable access rights and usable output.
Assess an off-the-shelf product
A specialist product may provide an established workflow. Still test your terminology, documents and exceptions. Distinguish configuration from development. Include transfers between tools, account administration and training in the adoption effort.
Build a focused integration
A custom integration is worth considering when an important need remains poorly covered or several systems must work together. It can use existing models. Define interfaces, business rules, tests and maintenance before coding. Budget for the service's operation after delivery.
Compare without letting price hide constraints
Start with non-negotiable conditions: data access, required control and fit with the process. Then compare total cost, implementation effort, verifiable quality and exit options. Agree each criterion's importance with the team. Record unknowns that require a trial.
- Use the same task, examples and criteria for all three options.
- An untested feature remains an assumption.
